Why Travel Agencies Need WhatsApp Integration

Over 2 billion people use WhatsApp globally. In tourism markets like Sri Lanka, India, Australia, and Southeast Asia, WhatsApp is the primary communication channel for both B2B and B2C travel businesses. Yet most tour operators use WhatsApp in a completely manual, unorganised way — messages in personal phones, no history, no automation.

Proper WhatsApp integration means:

For serious tour operators, the WhatsApp Business API (also called WhatsApp Cloud API) is the right choice. It enables automation, multi-agent access, and CRM integration.

How to Set Up WhatsApp Business API for Your Travel Agency

Step 1 — Create a Meta Business Account

Go to business.facebook.com and create a free Meta Business Account using your Facebook login. This is required to access the WhatsApp Business API.

Step 2 — Create a Meta Developer App

Go to developers.facebook.com → Create App → Business. Add WhatsApp as a product. Follow the setup wizard to connect your Meta Business Account.

Step 3 — Add Your Business Phone Number

In your Meta App → WhatsApp → API Setup, add your business phone number. Important: this number must NOT already be registered with any WhatsApp account (personal or Business App). Verify the number via SMS.

Use a dedicated business number for the WhatsApp API. Your personal WhatsApp number can't be used unless you completely delete it from WhatsApp first.

Step 4 — Generate Your Access Token

In Meta Business Manager → Settings → System Users, create a System User with Admin role. Generate a permanent access token with the whatsapp_business_messaging permission. Copy this token — you'll need it for TourRova.

Step 5 — Connect to TourRova

In TourRova, go to Settings → WhatsApp Setup. Enter:

Click Connect and send a test message to verify everything is working.

For most small tour operators doing 50-100 bookings per month, you'll stay comfortably within the free tier. TourRova does not charge any additional fees for WhatsApp — you pay Meta directly.

Yes, using the WhatsApp Business Cloud API integrated with TourRova, you can automate booking confirmation messages, payment reminders, and proposal sharing. The automatic payment reminder system sends WhatsApp messages at 7 days, 3 days, and on the day a payment is due — all without any manual action.
Yes, WhatsApp Business Cloud API is free for the first 1,000 conversations per month per business number. This covers most small tour operators' needs entirely. After 1,000 conversations, Meta charges a small per-conversation fee that varies by country ($0.005 to $0.08 per conversation).
