Getting Started with TourRova

Set up your travel CRM from scratch and manage your first booking in under 10 minutes. This guide walks you through every step.

TourRova works best on desktop for daily operations. The customer portal is fully mobile-friendly for your customers.

Step 1 — Create Your Account

Register at tourrova.com

Go to tourrova.com/register.php and fill in:

  • Agency Name — your tour company name (shown on invoices, proposals, emails)
  • Your Name — the admin user name
  • Email Address — used to log in
  • Password — minimum 8 characters

No credit card required. Your 14-day free trial starts immediately with all features unlocked.

Use your professional email (yourname@yourcompany.com) rather than Gmail — it builds trust when sending quotes and invoices to customers.

Step 2 — Configure Your Agency Settings

Go to Settings → General

Navigate to Settings in the sidebar and fill in your agency details:

Click Save Settings. Your agency details now appear on all documents.

Step 3 — Add Your First Customer

Customers → New Customer

Go to Customers in the sidebar and click New Customer. Key fields:

  • First Name / Last Name — used on all documents
  • Email — receives confirmation emails and invoice links
  • Phone / WhatsApp — used for WhatsApp messaging if enabled
  • Nationality — appears on invoices for international bookings
  • Passport Number — optional, appears on invoices
Add the customer's WhatsApp number in international format (+94771234567) to enable WhatsApp messaging later.

Step 4 — Create Your First Inquiry

Inquiries → New Inquiry

Go to Inquiries and click New Inquiry. Fill in:

  • Customer — select the customer you just added
  • Destination — e.g. "Sri Lanka 10 Days"
  • Travel Dates — from and to dates
  • Guests — number of adults and children
  • Source — where the inquiry came from (website, WhatsApp, referral etc.)
  • Status — set to "New" initially

The inquiry now appears in your Inquiry Pipeline — a Kanban board where you can drag it through stages: New → Contacted → Quoted → Won.

Step 5 — Build an Itinerary

Itineraries → New Itinerary

Go to Itineraries and click New Itinerary. Then:

  1. Enter the itinerary title (e.g. "Sri Lanka Cultural 10 Days")
  2. Click Add Day for each day of the tour
  3. Within each day click + Add Item to add hotels, transport, activities, meals
  4. Drag items to reorder them within a day or move them to another day
  5. Changes save automatically — no need to click Save

When done, click Print Itinerary to generate a branded PDF to share with customers.

Item types available: Hotel/Accommodation, Transport, Activity/Tour, Meal, Flight, Free Time, Cruise, Other.

Step 6 — Create and Send a Quote

Quotes → New Quote

Go to Quotes and click New Quote:

  1. Select the customer and link to the inquiry
  2. Optionally link to the itinerary you built
  3. Set the Valid Until date (creates urgency)
  4. Add Line Items — each service with qty, unit, and rate
  5. Add inclusions and exclusions lists
  6. Set deposit amount (e.g. 30%)
  7. Click Create Quote

From the quote view, click Send to Customer to open the send page. Choose email, WhatsApp, or copy the proposal link. The customer sees a beautiful branded proposal page where they can accept or decline online.

When the customer accepts the quote online, you get an instant email notification. You can then convert it to a booking with one click.

Step 7 — Confirm the Booking

Bookings → Create Booking

Go to Bookings → New Booking (or convert from a quote). When you change the booking status to Confirmed:

  • A confirmation email is automatically sent to the customer
  • Transport and General vouchers are auto-generated
  • A customer portal link is generated for the customer to track their booking
  • A WhatsApp confirmation can be sent with one click

From the booking view you can also generate an invoice and record payments.

Dashboard Overview

The TourRova dashboard gives you a real-time view of your business at a glance:
